Meet Jenny

 As Chief Experience Officer, Jenny Maxwell leads her team with a visionary approach, combining strategy, creativity, and precision. Armed with an MBA in marketing and a specialty in corporate branding, she crafts high-impact events that go beyond execution, they tell compelling stories and create unforgettable experiences. Her expertise in brand storytelling and experiential marketing ensures that every event not only runs flawlessly but also aligns seamlessly with her clients' visions and business goals. 

Meet David

 As Event Coordinator, David Maxwell brings a fresh, fashion-forward perspective to event planning. Based in Manhattan, he is currently studying Fashion Business and Marketing at the Fashion Institute of Technology. With a lifelong passion for fashion and working in the events industry for almost a decade, executing events is a dream job. David blends creativity, style, and strategic marketing insight to craft unforgettable experiences. His keen eye for style and attention to detail ensure that every event is both flawlessly executed and uniquely tailored to his clients' visions.

Event Coordinator - Mitzvahs

Remote (with onsite Saturdays required in the event location)

Part-Time | 1099 Contract | Opportunity to Grow Into Full-Time


Occasionally Fabulous Events is seeking a passionate, organized, and self-motivated Event Coordinator to join our team, specializing in Bar and Bat Mitzvah celebrations. This is an exciting opportunity for someone who loves bringing people together through meaningful and memorable experiences.

Our company plans corporate and social events with up to 12 mitzvah events per year and that number is growing. This role is ideal for someone looking to gain hands-on experience, grow into a full-time mitzvah planner, and become part of a collaborative, creative team that’s all about making unforgettable moments happen.


What You'll Do

As the Event Coordinator, you’ll support both planning and day-of execution. Responsibilities include:

  • Add event dates, contracts, and venue details to the master planning calendar

  • Coordinate venue logistics and communication

  • Contact vendors, gather quotes, and assist in building event budgets

  • Manage vendor contracts and add to master budget

  • Input event details into Canva decks for our graphic designer

  • Create and manage the event’s run-of-show

  • Collaborate with clients on seating chart creation

  • Provide onsite event coordination (approx. 8 hours on Saturdays):

    • Setup and vendor management (2–3 hours pre-event)

    • Live event coordination (4 hours)

    • Strike and breakdown (1–2 hours post-event)

Who You Are

We’re looking for someone who is:

  • Extremely organized, detail-oriented, and reliable

  • Able to manage themselves independently while working remotely

  • Comfortable juggling multiple moving parts and timelines

  • Excellent with communication and client service

  • Willing and available to be onsite for events (primarily Saturdays)

Bonus if you have:

  • Previous event planning or coordination experience

  • Familiarity with Canva, Google Suite, and/or project management tools. We use Monday.com.

  • A love for celebrating life’s biggest moments with care and creativity

Position Details

Type: 1099 Contract
Location: Remote (with onsite presence for events)

Schedule: Flexible hours for planning; events typically require full-day Saturdays
Compensation: Based on experience; discussed during the interview

Must have reliable transportation to get to and from the event.
Growth Opportunity: Potential to evolve into a full-time Mitzvah Event Planner within a year
